The ProgressCRM Sponsorship module provides the functionality for you to administer your adoptions or sponsorship schemes. Whether they are schemes to adopt an animal or sponsor a seat within a theatre, these are the schemes that bring your donors closer to your mission, and Progress helps you administer them effectively through the Sponsorship module.
Some benefits of the Sponsorship module are:
- Reduced duplication of data. Rather than holding the information on your schemes in a separate spreadsheet or database, you can record it within ProgressCRM and keep only one centralised record of each donor and their behaviour and details.
- Better picture of your donors. By recording the sponsorship information in ProgressCRM alongside other transactional information you can build a more complete picture of your donor and all the touch points they have with your organisation.
- Superior reporting and analysis. The module allows you to report and query in the same way as the other tabs within the database.
- Streamlined administration. Handling the administration of your schemes is easier with Progress – you can set up the items available for adoption/sponsorship, record the sponsor/recipient link, process the income, and produce all the necessary documentation.
The following information describes how the Sponsorship module can be used.
Defining and maintaining your schemes
The configuration, utilities and administration screens within the module control the set up and ongoing maintenance and running of your schemes. Here you can:
- Define your sponsorable items – what they are, how many, and more
- Set up transaction types and funds applicable to the schemes
- Record the selling prices
- View the income from schemes and number of current sponsorships taken out
- Print documents and reports
- View key information relating to each scheme
- Bulk update rates and lapse adopters
Using the tab
The tab can be accessed by anyone with the security rights to do so and is seen in the main ProgressCRM database screen. Inputting the data into the tab is simple – drop down lists will prompt for the scheme e.g. sponsor a dolphin, the package e.g. adult sponsorship, and the actual sponsored item e.g. the actual dolphin. According to the setup of the scheme this will populate the Type of Sponsor and the payment amount. The payment method, source code, and start and end date should also be entered.
Payment plans can be set up to schedule the payments recording the number of payments and the amount due each month. If the sponsorship is a gift for somebody this can be recorded in the Gift/Occasion page within the tab. Text for the certificates can be entered if required and links established to Gift Aid declarations, bank accounts, or credit cards.
Analysis and reporting
Understanding how effective your schemes are is important which is why adoptions data can be analysed in several ways:
- By the standard reports – the Adoptions module comes with some standard reports showing the key information you need
- From the Query tool – build your own statistical reports and export them for further analysis by using the built in Query tool in Progress 4.
- Adoptions summary page – within the administration pages you can view summaries of your schemes for quick updates on how you’re doing.
- Information Views – for dynamic views of your key performance indicators such as income generated, number of schemes taken out, number of adopters, etc.
